Job Description

MEATWORLD INTERNATIONA INC. is looking for a highly organized and detail-oriented Secretary to join the organization that will play a crucial role in supporting our COO and ensuring the smooth operation of all department.
  • Responsibilities:
  • Calendar Management and Scheduling:
Coordinate and manage the COO's calendar, scheduling appointments, meetings, and conferences.
  • Anticipate scheduling conflicts and proactively find solutions to ensure effective time management.
  • 2. Meeting Coordination and Follow-up:
Arrange and coordinate meetings, including setting agendas, preparing materials, and arranging logistics.
  • Attend meetings to record minutes and action items, and follow up on action items to ensure completion.
  • 3. Correspondence and Communication:
Screen and prioritize incoming emails, calls, and correspondence for the COO.
  • Draft, proofread, and edit memos, letters, reports, and other documents on behalf of the COO.
  • 4. Travel Arrangements:
Coordinate domestic and international travel arrangements for the COO and other executive team members.
  • Arrange transportation, accommodations, and itinerary details.
  • 5. Confidentiality and Discretion:
Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Maintain confidentiality of executive discussions and decisions.
  • 6. Project Support
Assist the COO in managing and monitoring special projects and initiatives.
  • Provide administrative support to project teams as needed.
  • 7. Office Organization:
Organize and maintain the COO's office, including files, records, and office supplies.
  • Implement efficient systems and processes to enhance productivity.
  • 8. Communication Liaison:
Act as a liaison between the COO and internal and external stakeholders.
  • Communicate effectively on behalf of the COO to relay important information and decisions.
  • 9. Event Planning and Coordination:
Assist in planning and organizing company events, conferences, and executive retreats.
  • 10. Miscellaneous Administrative Tasks:
Handle expense reporting, invoice processing and other administrative duties
  • Provide general administrative support to the executive team.
  • Job Requirements:
Bachelor's degree in Business Administration, Management, or a related field
  • With more than 5 years of experience as an executive secretary or similar administrative role
Excellent organizational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities.
  • Excellent English communication skills.
Strong Interpersonal skills to interact with executives, staff, and external stakeholders.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other applications such as Google Workspace (Sheets, Docs, Slide, Calendar, Email, Chat, and Drive)
Ability to handle sensitive and confidential information with integrity
  • Attention to detail and problem-solving skills
Ability to prioritize tasks and work independently
  • Flexibility to adapt to changing priorities and deadlines
Knowledge of office management systems and procedures

Job Type: Full-time

Ability to commute/relocate:
  • Makati City: Reliably commute or planning to relocate before starting work (Preferred)

Education:
  • Bachelor's (Preferred)

Experience:
  • Executive Secretary: 5 years (Preferred)

Language:
  • English Fluently (Preferred)
