Job Title: Executive Secretary / Corporate Secretary / FinanceWe are seeking a highly organized and detail-oriented individual to fulfill the role of Executive Secretary / Corporate Secretary with a focus on finance-related tasks. This position involves a wide range of responsibilities, including financial management, corporate documentation, administrative support, and personal assistance to the President and CEO.
- Finance and Accounting Tasks:*
- Daily Cash Position Reporting:
- Update daily cash position, including cash sales, collections, PDC on hand, and approved disbursements.
- Submit the report to the President/CEO each morning.
- PDC Management:
- Safeguard post-dated checks, ensuring all are deposited as scheduled.
- Maintain an updated summary of checks on hand.
- Company Financial Records:
- Secure and manage passbooks and company checkbooks.
- Payables Management:
- Prepare daily payables summary for approval by the President/CEO.
- Print approved checks and handle the signing process.
- Cash Advances:
- Prepare and seek approval for cash advances summaries.
- Print approved cash advance checks and oversee the signing process.
- Petty Cash Replenishment:
- Manage petty cash reimbursements and reconciliation.
- Prepare and process petty cash replenishment checks.
- Payroll Processing:
- Assist in payroll preparation, including check issuance and bank transactions.
- Handle government dues payments, including SSS, Pag-ibig, Philhealth, and BIR.
- SEC Electronic Filing:
- Submit the GIS/Annual Financial Statement via the E-FAST tool.
- Corporate Secretary Responsibilities:*
- Prepare Board Resolutions and Secretary Certificates for various purposes.
- Coordinate with legal counsel for review and approval.
- Maintain records of Board Resolutions and Secretary Certificates.
- Executive Secretary of the President:*
- Manage office tasks, including correspondence and file management.
- Provide clerical support and handle inquiries from employees.
- Schedule and coordinate appointments, travel, and meetings.
- Maintain efficient filing systems for company documents.
- Handle confidential files related to the President and CEO.
- Personal Assistant of the President and CEO:*
- Assist with personal payables and check printing.
- Handle family-related bookings and reservations.
- Manage personal document renewals and government-related tasks.
- Perform additional tasks as directed by the President.
- Qualifications:*
- Bachelor's degree preferably Accounting or Banking & Finance
- Proven experience in a similar role, especially in finance and corporate secretarial duties.
- Proficiency in office software and accounting tools.
- Strong organizational, communication, and multitasking skills.
- High level of discretion and confidentiality.
- Ability to work independently and adapt to changing priorities.
