We are seeking a
full-time Executive Personal Assistant to manage both personal and professional responsibilities on behalf of the client. This role will involve organizing a high volume of tasks and communication, managing calendars, and providing key support across multiple businesses. The ideal candidate will be proactive, highly organized, and capable of making decisions independently.
The successful candidate will handle everything from client communications and scheduling to personal errands and administrative tasks. This position requires someone who can manage multiple responsibilities, prioritize effectively, and act with discretion.
Key Responsibilities:
- Email Management: Handle and prioritize 100-150+ emails per day, filtering important communications and responding on behalf of the client when appropriate
- Calendar Management: Schedule and manage 3-10 daily meetings across multiple businesses, ensuring seamless coordination and no scheduling conflicts
- Task Management: Organize, track, and prioritize a long list of personal and business tasks, ensuring timely completion of critical items
- Client Communication: Follow up with clients and investors on paperwork, such as confirming investment documentation, collecting accreditation letters, and ensuring all necessary documents are submitted
- Errands and Reservations: Coordinate personal errands such as ordering gifts, making restaurant reservations, and booking travel
- Daily Reporting: Provide daily summaries outlining the most important tasks and priorities for the day or week
- System and Software Management: Learn and operate business software platforms such as InvestNext, HubSpot, and other tools as needed
