We are seeking a dynamic and highly versatile Executive Assistant to support senior leadership across a variety of responsibilities. The ideal candidate will be an all-rounder with experience in administrative tasks, digital marketing, social media management, video editing, and recruiting. Key Responsibilities:
Utilization of Quickbooks:
- Proficiency in day-to-day accounting functions such as transaction recording, payroll processing, and tax calculations.
- Strong understanding of QuickBooks capabilities, including budgeting, inventory management, and financial reporting.
- Experience customizing QuickBooks to meet specific business needs and improve operational efficiency.
- Attention to detail, accuracy, and a commitment to maintaining up-to-date financial records.
Assistance with Managing Client Expenses
- Experience in reviewing and organizing expense reports, receipts, and financial records.
- Strong organizational skills to help the client maintain an up-to-date and transparent expense tracking system.
- Proficiency in budgeting and assisting with financial planning to ensure the client stays within budgetary limits.
- Experience using financial management tools or software to track and report on expenses.
- Excellent communication skills to provide clear and actionable insights to the client regarding her financial situation.
Administrative and General Support:
- Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Handle correspondence, prepare reports, and manage confidential information.
- Assist with project management and oversee the organization of key business documents.
- Provide support in preparing presentations and materials for meetings.
- Assist in organizing virtual and in-person events, including webinars, team meetings, and company retreats.
- Manage tasks related to office organization and supplies, as well as liaising with vendors and external partners.
- Support the leadership team with ad hoc tasks and initiatives, ensuring business needs are met.
Requirements:
- Proven experience as an Executive Assistant or in a similar all-rounder role.
- Proficiency in administrative tools like Google Workspace, Microsoft Office, and project management tools (e.g., Asana, Trello).
- Can utilize QuickBooks to streamline financial processes, improve reporting accuracy, and ensure compliance with accounting standards.
- Experienced in recruiting, including candidate screening and interview coordination.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks, prioritize effectively, and work independently in a fast-paced environment.
- Attention to detail, organizational skills, and problem-solving abilities.
Required Qualifications:
- Having a deep knowledge with Quickbooks.
