About the role:
The client is seeking a bright and highly motivated Executive Assistant who can assist in all aspects of the firm's calendar and scheduling needs. This role will primarily support the Founder, however, responsibilities will require frequent collaboration and coordination with other members of the team. The ability to manage and schedule appointments across numerous calendars and time zones will be crucial to success in this role. The ideal candidate is responsive, highly organized, and someone who can jump in and hit the ground running. Strong communications skills are paramount as this person will frequently interact with investors, industry partners, and management teams of portfolio companies.
What you'll do:
- Calendar & Scheduling Management: Coordinate and manage complex schedules using Google Calendar, Zoom, Microsoft Outlook, and Teams.
- External Communication: Facilitate scheduling and correspondence with investors, portfolio companies, brokers, research providers, and service providers.
- Administrative Project Support: Handle ad-hoc administrative tasks as required, ensuring all projects are executed with precision and timeliness.
What to bring:
- Prior experience in financial services or related fields such as accounting or audit is highly desirable
- Maintain high standards of confidentiality and professionalism, particularly when dealing with sensitive information
- Open to candidates with relevant skills from other industries with strong professional standards
- 3-5 years of executive assistant experience, preferably within financial services or firms known for their professional standards
- Excellent written and verbal communication skills
- Stellar attention to detail to ensure accuracy in all tasks
- Entrepreneurial mindset with the ability to work independently and take the initiative
- Proven ability to collaborate across various functions within a team
- A resourceful approach with a desire to learn and adapt
- Ability to work standard New York hours (9am-5/5:30pm ET)
