II.Key Responsibilities
- Assists and acts in a confidential capacity to the President in providing advanced and
diversified executive support and managing the overall operation of the executive office.
- Anticipates matters to be attended to by the President and advises procedure as required.
- Manages and controls the Presidentâs calendar as well as the affiliateâs annual business
calendar, and distributes updates to internal stakeholders on a periodic basis.
- Processes all correspondences emanating to and from the President ensuring all
correspondences are responded to. (documents for signature, routes to concerned parties
and various documents while keeping tracks documents signed)
- Attends management meetings, engaging and giving inputs on meetings/issues and
transcribes and circulates minutes.
- Formats creates and edits correspondence and other written materials.
- Organizes and maintains storage and filing.
- Makes extensive local and international travel arrangements and sets up travel essentials
for the President.
- Receives and screens visitors, phone calls sometimes mails if needed
- Represents the President and demonstrates influence and confidence but with utmost
discretion when dealing with clients, and internal and external stakeholders.
- Arranges VIP airport meet and greet, hotel accommodation, dinner and social gatherings,
catering, and venue setup for the visitor of the President.
- Secures audiovisual equipment and other IT-related requirements for meeting and
presentation purposes of the President.
- Completes projects and special assignments by establishing objectives, determining
priorities, managing time, gaining cooperation of others, monitoring progress, problem
solving, and making adjustments to plans across different companies and organizations.
- Designs, establishes, and maintains a management information system, including physical
and electronic files for the department.
- Exercises administrative authority over the organization by coordinating work
assignments.
- Provides assistance in the recruitment process as needed
- Provides assistance in all of the President/CEOâs personal activities(matters concerning,
EO, DV Tech and Other Civic social duties)
Competencies
- Knowledge Requirement:
- Must be a graduate of any 4-year course, with a Degree preferably in Business
Administration, Mass Communication, Marketing, Journalism or related field.
- Skills Requirement:
- Strong administration and organizational skills
- Excellent verbal and written communication skills
- Able to communicate with all levels of people; good inter-personal skills
- Meticulous, good attention to detail, able to work with minimal supervision
- Good customer service orientation
- Preferably with some Sales background
- Computer literate (particularly excel and powerpoint) and appreciates technology
- Research methods and report writing skills

- Ability to take an independent position in the face of opposition.
- Ability to keep functioning effectively when under pressure and maintains self control
in the face of hostility or provocation.
- Responsible, reliable, and can be trusted with very confidential matters

- Work Experience
- Preferably with at least three (3) years work experience in similar capacity. Well-
considered is a prior executive level experience.
