Brief overview of this role:
We are looking for an Executive Assistant to provide comprehensive support to our CEO.
This role will provide all-encompassing support for both work-related and personal travel, calendar management, communications, and daily logistics. This includes handling travel itineraries, managing correspondence, and overseeing personal errands, thereby ensuring the CEO can dedicate their focus to driving company growth and personal commitments.
Maybe you have been working as an EA but want to depart from the corporate ladder and experience the startup into scale up journey first hand, from the closest possible position next to the CEO. Or maybe you have already worked in tech during a transition into scaling up to 50, 100, 200 people and beyond - both types of experience could be well suited and we'd love to hear from you!
Working so closely with the CEO, in the next few years there will be opportunities galore to catapult your career. You will be exposed to both of Sitemate's founders and wider cross-functional teams, to get a much broader understanding of how the SaaS delivery model works. What is the working environment like at Sitemate
- We are very transparent - monthly Allhands meetings provide the team with direct insight into team updates, customer stories, hiring plans and key metrics (NPS, Revenue, Financial Performance). During this Allhands meeting we also hear one life story from one of our team each month - learning about different countries and cultures around the world.
- We place an extremely high value on your time - you won't be spending your days wasting time on fighting internal systems, botched together spreadsheet processes or doing data entry.
- We use best in class systems that are seamlessly integrated to deliver our team the right information at the right time, allowing them to get their work done efficiently and to a very high standard.
- You will have a core and close team around you, but you will also be exposed to and working directly with multiple departments - engineering, product, design, marketing, sales and customer success.
- You will have a high degree of autonomy, as the focus is on outcomes and not hours. If you want to block off a few hours to run a personal errand or block off an hour to pick up the kids from school - no worries. No one will be monitoring your time.
- We are constantly working to minimise the number of group meetings - daily check ins are all done asynchronously (in your own time) each morning. But spontaneous 1:1s or small sessions are strongly encouraged!

- Sitemate builds best in class software products for the built world.
- Industrial companies operating in the built world are facing a number of mission critical challenges - changes in work behaviour as Generation Z start to enter the workforce as mobile first users of software, and the drastic shift away from traditional mining to renewable energy projects such as wind farms and solar farms.
- Our first product - Dashpivot, is a platform where industrial style companies streamline and standardise their processes in a new digital format. This new digital format enables them to complete and track work in the field on a mobile or tablet, and automate repetitive tasks and tracking through automated workflows and real-time analytics.

What will I be doing day to day in this role
- You will efficiently manage the CEO's professional and personal calendar, ensuring meticulous coordination of business meetings, personal appointments, and family events across multiple time zones. This holistic approach will ensure that the CEO can seamlessly transition between responsibilities without any conflicts or overlaps.
- You will assist with email management - implementing strategies to manage email overload, such as sorting messages by priority, drafting responses on behalf of the CEO, and setting up filters or auto-responses for routine inquiries.
- You will serve as a point of contact for internal and external communication - filtering messages, responding to inquiries and facilitating communication between various internal and external stakeholders to ensure seamless communication and time management, respecting the strategic priorities set by the CEO and the Chief of Staff.
- You will plan and manage all details of the CEO's travel arrangements for both business and personal trips (domestic and international) - this includes booking flights, hotels and transport, as well as preparing itineraries and managing last-minute changes to ensure minimal disruption to the CEO's schedule.
- You will assist the CEO with personal task management including family engagements, personal finance management tasks, and other personal errands as required, to allow the CEO to focus on strategic objectives and leadership responsibilities without distraction.
What will be the biggest challenges for me in this role
- Pace - there are a lot of moving parts, and quickly getting up to speed with these different parts, as well as the relationships and dependencies between will be critical
- Asynchronous communication - our CEO currently travels a lot and our international team is rapidly growing, so you will need to be comfortable coordinating across multiple timezones
- We have a strong culture based on core values and standard operating procedures, you may need to unlearn a few things from previous experience
