Overview: We are seeking a highly skilled and experienced Executive Assistant to support our clients team. We are looking for an individual who can efficiently manage multiple responsibilities and ensure seamless operations.
Key Responsibilities
- Inbox Management: Monitor and manage executives inboxes in real-time, ensuring no emails are missed or dropped. Set up emails and ensure smooth communication.
- Contract Management: Oversee and manage hundreds of high-level contracts, ensuring all documents are properly handled and executed.
- Travel Coordination: Plan and manage travel arrangements, including booking flights, accommodations, and transportation.
- Scheduling & Calendar Management: Maintain and organize executives calendars, schedule meetings, and coordinate appointments.
- Administrative Support: Handle both professional and personal administrative tasks, including appointment setting and minute-taking during meetings.
- Special Projects: Assist with miscellaneous special projects and duties as needed.
- Meeting Planning: Plan and execute meetings, including preparation of agendas and materials.
- Event Planning: Organize and manage corporate events and functions.
- Document Preparation: Prepare, review, and edit documents, reports, presentations, and spreadsheets.
- Confidential Information Handling: Manage and protect sensitive and confidential information with utmost discretion.
- Data Organization & Analysis: Organize, analyze, and present data as required.
- Basic Research: Conduct research and compile information for various projects.
- Office Management: Perform basic office management tasks to ensure smooth operations.
- Basic Accounting/Bookkeeping: Handle basic financial tasks and bookkeeping.
- Project Management: Assist with basic project management tasks and ensure timely completion of projects.
Qualifications
- Excellent communication skills (written and verbal) in English.
- Ability to meet deadlines and manage multiple tasks efficiently.
- Requires minimal supervision.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office suite.
- Ability to prioritize tasks and work efficiently under pressure.

Requirements
- Experience: Minimum of 5+ years of experience as an Executive Assistant supporting high-level executives.
- Software Proficiency: Proficient in Microsoft Tools, and Google Suite.
