Join our Philippines team as an Executive Assistant!

Job Description: As the Executive Assistant to Recruiting and Service Leadership at Tailored Management, you'll be the backbone of our administrative support system, driving efficiency and cohesion for our Recruiting Sr. Leadership team. Working closely with the SVP, and 2 Directors, you'll be instrumental in ensuring smooth workflow, project management, and collaboration across the organization. This is a fully onsite role based in Cebu, Central Visayas, with overnight hours to cater to US time zones (9pm PHT to 6am PHT).

Role Duties:

  • Lead and manage multiple projects and initiatives within the Recruiting and Service Department, directly influencing organizational and financial outcomes.
  • Generate ad-hoc reports in Excel, conducting thorough data analysis to provide actionable insights and support decision-making processes.
  • Coordinate and oversee all aspects of meeting management, including scheduling, agenda creation, minute-taking, and dissemination of meeting outcomes and action items.
  • Facilitate regular 1:1 meetings with team members, ensuring alignment with goals and objectives, and providing necessary support and guidance.
  • Collaborate with internal departments to compile and deliver executive report-outs on various metrics, including HR cases, survey data, and action plan management.
  • Maintain and update team structures, organizational charts, and personnel information to ensure accurate and efficient operations within the department.
  • Manage executive travel arrangements, including itinerary creation, booking accommodations, and processing expense reports, while adhering to budgetary constraints and travel policies.

Skills and Competencies required:


  • High emotional intelligence, personal accountability, objectivity, and self-awareness.
  • Advanced proficiency in Google Docs, Microsoft Excel, PowerBI, and Microsoft Outlook.
  • Independent with a receptiveness to new ideas and critical thinking.
  • Ability to appreciate and leverage diverse talents for maximum collaboration.
  • Superior organizational, task management, and self-management skills.

Experience:


  • Bachelor's degree in Business Administration, Human Resources, Communications, or a related field of study preferred.
  • Minimum 2 years experience supporting executive or senior-level leaders in a for-profit business environment.

Location and Working Environment:


  • Location: Skyrise 4B 17th Floor West Geonzon Street IT Park Apas Cebu City, Cebu 6000
  • Hours 9:00 P.M. to 6:00 A.M. PHT, to support United States-based Clients.
  • This role operates full-time in the office.
