Job Description

helloassist is looking for an Executive Assistant (REMOTE - WFH) who will play a critical role in supporting our C-suite executives and ensuring smooth administrative processes at the highest level.

This Executive Assistant position requires a detail-oriented and organized professional with experience in executive support, task management, and high-level communication. The ideal candidate will have a strong ability to manage various tasks, provide timely support, and create systems that facilitate efficient operations across the executive team.

Results We Expect:

  • Detailed daily schedules for the executive, including meetings, calls, appointments, and tasks
  • Summary of the weeks activities, upcoming tasks, key meetings, and priorities for the following week
  • Overview of the month's accomplishments, key metrics, progress on projects, and upcoming deadlines
  • Detailed reports on business performance, KPIs, financial summaries, and strategic initiatives
  • Monthly records of the executives expenses, including receipts and justifications for expenditures, or as needed
  • Daily drafting and managing of correspondence, including emails, memos, and letters
  • Meeting agendas/minutes, travel itineraries, presentations, strategic documents, event planning documents, communication plans as needed
  • Detailed lists of tasks and follow-ups for the executive, ensuring that all action items are tracked and completed

Your Responsibilities:

  • Manage and organize daily executive administrative tasks, including email correspondence, scheduling meetings, and preparing documents
  • Provide timely support to C-suite executives with various tasks and projects
  • Perform accurate data entry and maintain information across different systems
  • Communicate regularly with the executive team to ensure smooth operations and provide updates
  • Proactively identify and resolve administrative issues
  • Develop and maintain organizational systems to improve efficiency
  • Assist with special projects and other tasks as needed
  • Continuously seek opportunities to improve administrative processes and tools

Minimum Requirements:

  • 3-5 years of experience in executive support or a similar role
  • Strong communication skills, with the ability to present information clearly and effectively
  • Excellent organizational and time management skills
  • Detail-oriented with strong problem-solving abilities
  • Ability to work independently with minimal supervision
  • Experience working on a Graveyard Shift
  • Experience taking little direction and figuring things out on their own

Preferred Skills:

  • Experience in the Outsourcing industry or any relevant industries
  • Experience in supporting Startups
  • Proficiency with productivity tools and software such as Microsoft Office, Google Workspace, and project management tools (great to have, but not required)
