JOB SUMMARY:
The Executive Assistant of Hospitality Development Unit is a high-level administrative position that reports directly to the Unit's CEO and Resource ManagementGroup Head (administrative) to help execute the organization's operational goals. The position helps monitor operational and strategic projects of QRC, JNCC, FIC, and ZCC. One of the central responsibilities of the Executive Assistant is to ensure that crucial information is communicated accurately and on a timely basis.
He/she is responsible for managing the schedules and communications of key company executives. The position also manages the CEO's daily time, correspondence, and travel to ensure that the CEO is focused on tasks that service key operational priorities for HDU.
Objectives of this role:
- Primarily support the CEO as well as provide additional support to executive team members, as directed, to ensure that company short term and long-term goals and objectives are accomplished and that operations are run efficiently
- Maintain and refine internal processes that support executive team members and coordinate internal and external resources to expedite workflows
- Plan and orchestrate work to ensure that the team's priorities are met, organizational goals are achieved, and best practices are upheld
- Manage communication with employees by liaising with both internal and external executives on various projects and tasks
JOB RESPONSIBILITIES:
- Coordinate HDU executives schedules, arranging meetings, appointments and travel itineraries. He / she is tasked to join meetings and will take down minutes of the meetings.
- Act as a primary point of contact for internal and external stakeholders, screening, and directing appropriate communications.
- Assist in managing HDU's projects and initiatives thru close monitoring of files as well as updating of critical documents.
- Assist in managing financial matters for HDU executives, such as expense report, budget tracking, and billing payments
- Organize team communications and plan events, both internal and off-site.
- Maintain professionalism and strict confidentiality in the handling of sensitive information
- Provide support on various ad hoc projects and tasks as requested by CEO and RMG Group Head.
JOB QUALIFICATIONS:
- With Bachelor's Degree in Business Administration, Finance, Accounting or any related field
- With previous experience in an Executive Assistant or Administrative role, especially supporting senior executives.
- With strong organizational skills
- Excellent verbal and written communication skills across all levels of the organization
- Attention to details accuracy is essential in tasks such as managing calendars, preparing critical documents, and handling correspondences.
