The Executive Assistant will provide high-level administrative support to senior executives within the organization. This role involves managing schedules, coordinating meetings, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Key Responsibilities:
- Administrative Support: Manage executive's calendar, schedule meetings, and coordinate travel arrangements. Handle correspondence, prepare memos, reports, and presentations.
Meeting Coordination:
Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.Communication:
Serve as a liaison between the executive and other staff, stakeholders, and the public. Manage incoming and outgoing communications, including emails, calls, and letters.Research and Reporting: Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality.
Project Management:
Assist in the management of projects, track progress, and ensure deadlines are met.Office Management:
Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders for supplies.
Required Skills and Qualifications:Education:
Bachelor's degree in Business Administration, Communications, or a related field preferred.Experience: Minimum of 3-5 years of experience in an executive assistant role or similar administrative position.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and communication tools.
Communication:
Excellent verbal and written communication skills. Ability to interact with high-level executives and stakeholders.Organizational Skills:
Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously.Problem-Solving: Ability to proactively identify issues and develop solutions.
