About the Opportunity
We are seeking a highly organized and diligent Executive Assistant to provide comprehensive support primarily to our Chief Strategy Officer (CSO) - Regulatory Data Services, based in London from our hub in Manila. This role will also extend secondary support to the CEO and 2-3 Senior Managers. The successful candidate will play a crucial role in facilitating the CSO's leadership in regulatory data services, acting as the primary point of contact for internal and external constituencies on matters pertaining to the CSO. This position demands a high level of proficiency in managing cross-cultural communications and the ability to work independently on a wide range of tasks. The ideal applicant will possess a strong background in arranging international travel, negotiating with hotels and airlines for optimal arrangements, and a demonstrated ability in handling a wide range of administrative and executive support tasks.
About the Role
Executive Support: Primary point of contact for the CSO, efficiently managing information flow and task execution. Provides secondary support to the CEO and Senior Managers.
Travel Coordination: Leads all travel arrangements for the CSO, CEO, and Senior Managers, focusing on detailed itinerary planning and optimal travel arrangements.
Calendar Management: Oversees the CSO's schedule, ensuring effective organization of appointments and meetings while accommodating various time zones.
Communication: Facilitates communication for the CSO, demonstrating sensitivity to the nuances of regulatory data services and ensuring effective cross-cultural interactions.
Administrative Support: Delivers direct administrative support to the CSO, handling emails, reports, documents, and confidential information with discretion.
Adaptability: Demonstrates flexibility in working hours and task management to align with the CSO's needs and the dynamic nature of executive schedules.
About You
Cultural Sensitivity & International Experience: With a deep appreciation for cultural differences, you have extensive experience working with C-suite executives in the UK and US, adept at navigating complex international business practices.
Proven Experience: Minimum 5 years of experience as an Executive Assistant or Personal Assistant, with a strong record of supporting C-level executives in international contexts.
Exceptional Communication: Outstanding English communication skills, capable of effective interaction across all organizational levels and cultures, with adaptability to UK and US business environments.
Diligence & Attention to Detail: Known for meticulous attention to detail in planning travel, managing calendars, and preparing reports, ensuring accuracy and thoroughness in all tasks.
Follow-through & Resourcefulness: Demonstrates exceptional follow-through and resourcefulness, with the ability to complete tasks efficiently and find solutions to unexpected challenges.
Proactiveness: Proactively anticipates the needs of the CSO and other senior executives, planning and executing tasks to prevent potential issues and contribute to the executive office's smooth operation.
