CLIENT BACKGROUND

DUTIES AND RESPONSIBILITIES:

  • Schedule and manage appointments, client calls, and meetings, ensuring optimal time management.
  • Conduct warm lead follow-up to set up appointments and maintain relationships with clients.
  • Prepare and finalize reports, contracts, proposals, and gather necessary information for meetings.
  • Assist in on-boarding new clients through information/document gathering and coordination
  • Some misc report gathering for meetings/audits etc
  • Assist in writing and updating Standard Operating Procedures (SOPs) to maintain clear and efficient processes.
  • Help streamline and improve internal workflows and processes to enhance overall efficiency.
  • Manage multiple projects, tracking deadlines and ensuring timely completion.
  • Oversee CRM systems, maintaining accurate client records and project statuses.
  • Manage email and inbox communications, prioritizing responses and drafting correspondence on behalf of the executive.
  • Take meeting notes, distribute minutes, and follow up on action items.
  • Manage social media accounts, assist with content creation, and distribute updates.
  • Handle administrative tasks such as travel arrangements, expense reports, and document management.
  • Other ad hoc tasks as assigned

QUALIFICATIONS

  • At least 3+ years of experience as an Executive Assistant; experience working in a US accounting firm is a big plus!
  • Background in accounting/bookkeeping or tax is a must- Quickbooks Online familiarity a must
  • Strong administrative and project management skills.
  • Tech-savvy with a keen attention to detail and ability to navigate multiple software programs
  • Confident in taking phone calls and managing client communications.
  • Willing to work on Pacific Time to ensure collaboration with clients.
