Executive Assistant to CEO

Job Summary: We are seeking a dynamic and proactive Executive Assistant to provide high-level administrative support to the Chief Executive Officer (CEO). The ideal candidate will have a natural ability to connect with others, communicate enthusiastically, and work collaboratively in a fast-paced, high-energy environment. As an Executive Assistant, you will drive results by leveraging relationships, acting decisively, and ensuring smooth workflow across the executive office. Your ability to anticipate needs, handle shifting priorities, and motivate others will be essential to success in this role.

Key Responsibilities:

  • Relationship Building & Communication:

Serve as the CEO's primary point of contact for both internal and external communications. Build strong relationships with team members, clients, and key stakeholders to ensure smooth interactions and communication flow. Engage with colleagues in a lively and flexible manner, drawing them into conversations and discussions that drive productivity.

  • Proactive Support:

Anticipate the CEOs needs by proactively identifying priorities, scheduling meetings, and managing tasks that align with organizational goals. Initiate projects or take action independently to ensure tasks are completed efficiently and on time, even in the face of obstacles.

  • Goal-Oriented Leadership:

Assist the CEO in achieving swift and decisive results by driving actions forward at a faster-than-average pace. Delegate details and coordinate tasks across the executive team to ensure key initiatives are progressing smoothly, while staying focused on the larger organizational goals.

  • Team Collaboration:

Act as a collaborative partner, working through and with others to ensure projects and initiatives are completed successfully. Focus on building team cohesion, motivating colleagues, and ensuring that interpersonal relationships within the organization remain strong.

  • Adaptability & Flexibility:

Thrive in a fast-paced environment that offers variety and change. Demonstrate flexibility by adapting quickly to shifting priorities, making decisions confidently, and adjusting plans to meet evolving demands without losing momentum.

  • Event & Travel Coordination:

Plan and organize meetings, events, and travel for the CEO, ensuring all details are handled smoothly and efficiently. Oversee the logistical aspects of these events, while focusing on the big picture rather than getting bogged down in repetitive details.

  • Task Delegation:

Confidently delegate responsibilities and authority when appropriate, ensuring that team members are empowered to take ownership of tasks and projects. Provide coaching and development to those who report directly to the CEO, helping them grow and succeed within their roles.

Skills & Experience:

  • Executive Support Experience:

Minimum of 5-7 years of experience providing high-level executive support to C-suite executives, preferably in fast-paced environments.

  • Outstanding Communication Skills:

Exceptional verbal and written communication skills, with a talent for motivating, influencing, and engaging others. Able to convey ideas clearly and persuasively to both small and large groups.

  • Strong Interpersonal Skills:

High emotional intelligence, with the ability to understand and connect with others easily. A natural people person who thrives on collaboration and teamwork.

  • Goal-Oriented & Results-Driven:

Proven track record of driving initiatives to completion with a sense of urgency and a focus on swift, impactful results. Comfortable taking the initiative and leading projects independently.

  • Adaptable & Resourceful:

Capable of reacting quickly to new challenges and opportunities, making decisions and pivoting as needed. Adept at handling a variety of tasks and responsibilities without losing focus.

  • Organizational Skills:

Ability to manage multiple projects simultaneously, with a talent for maintaining focus on overarching goals and outcomes, even when details are delegated to others.

Requirements:

  • Bachelors degree in business administration, communications, or a related field.
  • At least 5-7 years of experience supporting senior executives in a high-energy, fast-moving corporate environment.
