- EXECUTIVE ASSISTANT AND HR ADMIN SUPPORT

We are looking for an _Executive Assistant and HR Admin Support _to be part of our team.
He/She will be responsible for supporting various EA tasks for the CEO and leadership team, HR functions, including recruitment, employee relations, performance management, and HR administration including potentially managing outsourced staff.
He/She will play a crucial role in fostering a positive work environment and ensuring compliance with company policies and regulations.
He/She shall perform duties and responsibilities including, but not limited to the following:
Oversee daily admin and tasks through collaboration with CEO and leaders, performing an array of administrative tasks from managing calendars, travel bookings, generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities
Serve as liaison between staff, executives, senior leaders, and CEO, regarding company climate, employee well-being, project updates, proposals, and planning
Support execution of strategic business initiatives from development through successful execution under the guidance of CEO and leadership team
Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with CEO and executives on special projects
Serve as a leadership support staff handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications
Support CEO on data entry and tracking of performance scorecard and reporting
Coordinate the recruitment process, including job postings, resume screening, scheduling interviews, and conducting interviews
Manage payroll including commissions and partner payouts or partner with outsourced finance partner to manage
Assist in the development and implementation of HR policies and procedures digitally
Provide guidance and support to employees and managers on HR-related matters, including performance management, disciplinary actions, and conflict resolution
Maintain accurate and up-to-date employee records, including personnel files, time off records, and
HRIS data
Conduct new employee orientations and ensure a smooth onboarding process for all new hires using the company's tool.
Assist in the organization and delivery of employee training and development programs
Participate in HR projects and initiatives to improve processes and enhance the employee experience
Stay current on relevant employment laws and regulations and ensure compliance with federal, state, and local requirements
Handle confidential information with discretion and professionalism
Collaboration: Ability to collaborate with external tax agents, bookkeepers, and company secretaries to
ensure regulatory compliance.
Adaptability: Flexibility to adapt to changing business needs and regulations, and willingness to learn
new skills as required.
Project Management: Experience in managing business enhancement projects and initiatives from
conception to implementation.
Process Optimization: Capability to design and manage operating models and business processes to
enhance efficiency.
HR Expertise: Knowledge and experience in managing hiring processes, creating job descriptions,
screening applicants, and scheduling interviews.
Recruitment and Retention: Ability to recruit, acquire, and retain staff across different regions, including
managing visas and compliance requirements.
Payroll Management: Familiarity with HR payroll systems to ensure accurate monthly payouts, including
handling CPF and taxes in multiple jurisdictions.
Communication Skills: Effective communication with internal teams, external stakeholders, and
government agencies.
Detail Orientation: Attention to detail in scheduling meetings, bookings travel and managing CEO
calendar with clients and partners
At least 2-3 years of experience in a similar role encompassing HR, EA and CEO admin support,
preferably in a fast-paced environment or global startup
Proven track record in managing hiring processes, payroll, and admin tasks
Experience in managing cross-functional teams and collaborating with external stakeholders
Bachelor's degree in Human Resources, Business Administration, or a related field
Strong understanding of HR best practices and employment laws, ideally in the US and Singapore
Excellent communication and interpersonal skills
Detail-oriented with strong organizational skills
Proficiency in using relevant software and tools for project management, payroll processing, and
reporting key HR metrics (e.g., HRIS, payroll software)
HR certification (e.g., SHRM-CP, PHR) is a plus
Amenable to work on a night shift schedule
Willing to work onsite in Tower 1 Rockwell Business Center, Ortigas
