Job Description

Job Summary: Administrative Secretaries perform day-to-day administrative and secretarial duties in office environments. Their responsibilities include reporting to management, drafting documents and entering data, and scheduling appointments.
  • Duties and Work Activities:
Reporting to management and performing secretarial duties.
  • Processing, typing, editing, and formatting reports and documents.
Filing documents, as well as entering data and maintaining databases.
  • Liaising with internal departments and communicating with the respective person/department.
Directing internal and external calls, emails, and faxes to designated departments.
  • Arranging and scheduling appointments and meetings.
Ordering and purchasing of required supplies and materials required for any certain events and to any other Department
  • Coordinating to respective departments of any necessary information, instruction and guidelines to follow and make
Handling and following up the selected purchase order as per GM instruction
  • Monitoring office supplies including GM's Office and ordering replacements.
Receiving the Departmental request with regards to building, installing, creating and so on and relaying these to the GM for discussion and approval.
  • Assisting with copying, scanning, faxing, emailing, note-taking, and travel bookings.
Create a PowerPoint video presentation for advertisement purposes
  • Observing the best business practices and etiquette.
Performing another task if required by GM
  • Events Coordinator:
Planning calendar event for staff and guest with attention to financial and time constraints
  • Hosting Events
Manage all event operations (preparing venue, invitations etc.)
  • Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
Oversee event happenings and act quickly to resolve problems
  • Evaluate event's success and submit reports
  • Requirements and skills
Proven experience as event coordinator
  • A proven track record of organizing successful events
Knowledge of basic recruitment practices
  • Outstanding communication
Well-organized with multi-tasking skills
  • Able to handle stress and remain calm
Problem-solving ability
  • Degree in hospitality management, public relations or relevant field is preferred
