Duties and Responsibilities: Communicate to immediate superior regarding urgent marketing, calls, schedules, fax message, couriers & the like received from Principals, suppliers &/or client/customers.
File & compile in chronological filing the quotations, request, Purchase Orders & related commercial papers of the Service Department.
Be aware of all areas of possible loss due to errors &/mistakes, negligence & carelessness
Expedite front lines, direct flow of customers, and ensure that each customer receives outstanding customer service by providing a friendly environment.
Responsible for accurate & timely issuance of quotations to Customers/Clients & PO to suppliers & Principals.
Assist in the processing of documents & comply the required supporting papers necessary to support the request for payment with suppliers & principals.
Maintain & update regularly the database for:
o Information to/from Suppliers, Customers & Principals
o Client's Purchase Order
o Purchase Orders to Principals & Suppliers
o Quotation & Enquiries
o Product Catalog & profile
o Goods-in-transit (both indent & forward)
o Inventory of saleable goods/items that are in good condition, with defects &/or subject for replacement/retirement of principal
Implement authority when authorized to received & Inspect shipments, incoming materials, supplies, equipment & the like and compare its quality & form as per written description & specifications stated in the PO, Delivery Slip, Quotation, Invoice. Prepare & sign acceptance form when satisfied. Ensure that items received and free from damage & defects.
Prepare Account Profit Analysis, Purchase Order to Suppliers/Principal & route to authorize signatories prior to its release & implementation.
Assists in client visit when necessary & assume account executive function as the situation calls for special projects/customers or so.
Submit accurate & timely service report analysis, sales & hit rates variance analysis, production report & other necessary report necessary to analyze the daily, monthly service output & productivity
Provide orderly maintenance of front-end-equipment and supplies.
Help solve problems that affect the service, efficiently, and productivity of the front-end activities.
Lead, train, guide staff/student trainee performing related work or downloaded functions of the service support group.
Perform any other tasks inherent to the position and as assigned from time to time.
Graduate of any 4 year Business Course.
- With at least 2 year experience in related field.
Knowledgeable in computer (Word & Excel)
Ability to provide outstanding customer service.
Ability to develop and build relationships among employees, & outside parties.
Ability to manage front-end operations effectively.
Ability to process information through computer system and register/logbook system.
Ability to adjust priorities and manage time wisely in a fast-paced environment.
Ability to maintain records, files and documentation pertaining to work force.
Ability to communicate in a clear, concise, understandable manner, and listen attentively to superior.
Ability to operate all equipment necessary to perform the job.
