Graduate of Bachelor's Degree, or equivalent experience- Minimum of 1 to 2 years of experience in an administrative or HR role
Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Responsible for providing administrative support to the HR department and other departments within the organization.
- Will be the acting primary point of contact for employee-related matters, ensuring that all employees have a positive and efficient experience.
Will assist in the coordination of employee events, training programs, and other initiatives to promote employee engagement and retention.
- Areas of Responsibilities:
Responsible for coordinating instructions from client focal to be disseminated to BTSMC staff and ensure smooth transition.
- Identify and implement process improvements to increase efficiency and productivity.
Aligns and escalates significant information to HO that may impact the employees which are, but not limited to the following: schedule, payroll, project concerns and requests, onboarding and offboarding of employees.
- Act as communication link between departments (Projects to HO).
Timely evaluation and coordination of travel requests (air, sea & land), accommodation, procurement, PPE & IT concerns, and other related matters.
Verifies and approves cash advances for official business purposes, liquidations, and reimbursement.
- Timely alignment and escalation of HR-related concerns
Ensures that concerns are aligned, coordinated, and escalated to the proper channels for faster resolution.
Scrutinizes and edits time entries thru EMS, as necessary.
- Sends regular reminder to all EMS approvers on the timekeeping deadline.
- Coordinates and escalates incidents to HR and Management
Employee relations management - creating incident reports, notice to explain, notice of decision, and other related documents.
- Assists in the employee disciplinary process.
- Manpower update and monitoring
Maintain accurate and up-to-date records of employee data, including personnel files, benefits enrollment, and performance reviews.
- Review submitted Manpower Requisition Form and Job Description from Hiring Lead/s.
- Rewards, Recognition, and Training
Coordinates employee of the month/year, service award, and other rewards program to HR.
- Participates in the evaluation and monitoring of training programs to ensure success and do follow-up on the implementation of training objectives.
- Performance Management Activity
Reminds and pushes the project leaders to submit the evaluation forms within the timeline.
- Implementation of Company policies and code of conduct in alignment with the employment contract
Implements and answers employee inquiries affirmatively.
- Able to decide on her own with regards to basic employee inquiries.
Performs other duties that may be assigned by the management or Immediate Superior from time to time.
- May be asked to support other projects of BTSMC as necessary.
Will be working at the head office and on-site in a fast-paced working environment that requires constant coordination with various teams, departments, and Implementing Contractors to ensure quality, accurate and timely development of plans and recommendations, and implement required actions.
