POSITION DESCRIPTIONThe Clinic Secretary plays a crucial role in keeping the clinic's day-to-day operations smooth and productive. The Clinic Secretary ensures that patients are received and attended to in a professional and timely manner. S/he also manages all other related tasks and activities including scheduling of doctors and dental assistants, billing and administrative tasks.
- Patient Management _ reception, record keeping, scheduling/appointments, follow ups, collection of payments, admin tasks_
a. Ensure the overall tidiness of the reception area and clinic at all times.
b. Greet and welcome visitors in the practice.
c. Gather initial medical records, diagnostics and insurance information from patients.
a. Answer inquiries from phone and social media accounts. Receive and manage patient complaints, or escalate to Clinic Manager or senior doctors as necessary.
d. Schedule patients for efficient use of doctor and staff time. Confirm scheduled appointments via text/call.
e. See that patient records are filed and stored securely and accurately.
f. Prepare claim forms with the assistants for insurance
g. Manage recall and inactive patients. Make follow up appointments when needed. Check patients and back up the list of no show patients.
h. Prepare costing for treatment plans prepared by the dentists and communicate to patients.
i. Manage collection of payment of patients from time of treatment, and the necessary paperwork.
j. Provide related reports
- Billing _coordination and management of payments from patients, payments to doctors, suppliers, billing documentations are updated_
a. Manage payments from patients. Prepare billing statements accurately as directed by the dentists.
b. Prepare overdue accounts. Coordinate overdue accounts with patients.
c. Prepare and disburse daily commissions to dentists.
d. Manage payments for supplies and third-party vendors.
e. Update all appropriate and necessary billing files and documents.
- Administrative Tasks _- payroll, marketing tasks_
a. Manage office-related paperwork and requirements
b. Ensure that the business office's supplies are adequately stocked; all equipment are working properly
c. Schedule and oversee monthly general cleaning
- Any other tasks and projects as assigned
- Skills and Requirements:
College graduate or at least 2-3 years proven experience as medical secretary or administrative position- With knowledge of dental terminology, regulations and dental clinic procedures.
Experience in processing insurance claims is an advantage
- Computer-savvy, including experience in using MS Office applications
Well spoken in English and Tagalog- Above average customer service skills
Patience, Discretion and Multi-tasking skills
A good record of attendance and punctuality
