Role Summary
Our client is looking for a Contracts Manager to join their growing team. This role will manage, negotiate, and oversee the entire contract lifecycle for the company's staffing agreements with clients, vendors, and subcontractors. The role requires a strategic thinker with excellent attention to detail and the ability to manage complex contracts in compliance with legal and industry regulations. This position will ensure contracts are aligned with business goals and mitigate risk while ensuring smooth and efficient execution.

Essential Functions
- Draft, review, negotiate, and finalize client and vendor agreements, ensuring that terms and conditions meet the company's objectives and comply with applicable laws
- Handle the tasks related to RFP management and negotiation:
- Oversee the entire RFP process, from receiving client requests to final submission
- Collaborate with internal teams to gather data, pricing, and other relevant information for proposals
- Draft and edit responses to client RFPs, ensuring accuracy and compliance with client specifications
- Track and manage deadlines to ensure timely submission of all RFPs
- Analyze RFP results and recommend improvements for future submissions
- Handle the following contract management duties:
- Oversee the entire lifecycle of contracts, from initiation through execution, renewal, and termination
- Ensure timely approvals and compliance with contractual obligations
- Handle the following tasks related to risk management:
- Assess potential risks within contracts and negotiate favorable terms to minimize liabilities
- Ensure that contract terms align with legal standards and industry best practices
- Ensure that contracts comply with local, state, and federal regulations, including labor and employment laws relevant to the staffing industry
- Handle the following tasks related to client and vendor relations:
- Serve as the primary contact for all contract-related communications with clients, vendors, and internal stakeholders
- Resolve any disputes or issues during the contract negotiation or execution phases
- Handle the following internal communications duties:
- Serve as the primary contact for all contract-related communications with internal staff
- Ensure the proper employees are updated with the status of the contract and are aware of any needed action items from other teams
- Handle the following documentation and reporting duties:
- Maintain an organized and up-to-date contract repository, ensuring that all agreements are easily accessible and securely stored
- Ensure that all documents, important notes, etc. are well noted within the company ATS
- Handle the following tasks related to Certification of Insurance (COI) management:
- Manage the collection, review, and tracking of certificates of insurance for clients and vendors
- Ensure compliance with company and client insurance requirements
- Maintain an organized and up-to-date database of COIs
- Communicate with insurance brokers, clients, and vendors to resolve discrepancies or obtain missing documentation
- Improve contract management and COI processes and systems continuously to increase efficiency and ensure that contracts are reviewed, negotiated, and finalized on time
- Collaborate with various teams, including Sales, Operations, Finance, and HR, to ensure contracts meet business requirements and mitigate potential risks
Qualifications
- Bachelor's degree in Business Administration, Legal Studies, or a related field required
- 5+ years of contract management experience, focusing on the staffing or recruitment industry
- Strong knowledge of contract law and employment-related regulations
- Experience negotiating client contracts, vendor agreements, and subcontractor arrangements
- Experience in the staffing or recruitment industry, with knowledge of industry-specific regulations such as EEOC, FLSA, and other labor laws is preferred
- Certification in contract management (e.g., Certified Commercial Contracts Manager, CCCM) is also preferred
- Exceptional negotiation skills and ability to manage complex contracts
- Proficiency in contract management software and Microsoft Office Suite
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication skills, both written and verbal, with a high degree of professionalism
- Ability to work independently and as part of a team to meet deadlines
