Conference and Travel Associate

LegalSight is an exciting legal services firm at the crossroads of global innovation. We are looking to expand our team which supports the international patent filing needs of clients around the globe. This team specializes in products, software, and services to assist with patent and trademark application processes, including filing, renewals, and translations.

This Conference and Travel Associate will report to our Conference Team Lead and will collaborate closely with our Sales and Revenue Operations teams. As the Conference and Travel Associate, you will coordinate travel, hotels, and other logistics to ensure smooth and cost-effective travel for conferences and business development meetings. Day-to-day responsibilities include working closely with the sales and revenue operations managers to gather necessary details for conference and business development travel; and booking flights, trains, rental cars, and hotels. This role is the backbone that makes our conferences and travel possible!

This is a full-time, fully remote position. Working hours will be Monday Friday 9:00am 5:00pm Eastern Standard Time (U.S. time zone). (As we are a U.S.-based company, working hours will be adjusted during daylight savings time.) Fluency in spoken and written English is required for this role as you would be collaborating with and supporting team members internationally.

Responsibilities:

  • Collaborate closely with the Conference Team Lead, Sales Managers, Revenue Operations Manager, and the CEO and CFO to plan and execute conferences and travel.
  • Research, compare, and book flights, trains, and rental cars based on travel needs.
  • Research, compare, and book hotels based on travel needs.
  • Track and record all expenses associated with travel.
  • Collaborate with the CFO for review and approval of travel costs.

Requirements:

  • Bachelor's degree, ideally in a related field
  • Experience with travel logistics such as flights, hotels, etc.
  • Strong attention to detail
  • Ability to manage multiple projects simultaneously
  • A team-oriented mindset
  • Excellent interpersonal skills
