The Role
The CLMS (Contract Lifecycle Management System) Administrator will play a critical role within the Contracting Team by managing and maintaining the CLMS. This position will work closely with the Contracting Team to ensure contract repository hygiene, identify and implement system improvements, communicate requirements to vendors, lead user acceptance testing (UAT) sessions, manage vendor payments, facilitate service support tickets, and maintain control of licenses.
Key Responsibilities:
Oversee the maintenance of the contract repository to ensure data accuracy and integrity, regularly audit the repository to identify and correct any discrepancies and implement best practices for data management and repository organization.
Collaborate with the contracting team to assess and identify improvements needed in the CLMS, communicate system requirements and enhancement requests to the vendors, and ensure timely implementation of system updates and improvements.
Lead UAT sessions for system upgrades and new implementations, develop and execute test plans to ensure system functionality meets business requirements, and document and communicate testing outcomes while following up on issue resolution.
Oversee the payment process for vendors, ensuring timely and accurate payments, and monitor and manage vendor performance against agreed service levels.
Act as the primary point of contact for CLMS-related support tickets and facilitate communication between users and vendors to resolve issues promptly.
Maintain control of CLMS licenses, granting and revoking access as needed.
The Requirements
Bachelor's degree in Business Administration, Information Systems, or a related field.
Proven experience in system administration, preferably in a CLMS or similar environment.
Strong understanding of contract management processes and best practices.
Excellent communication and interpersonal skills to work effectively with internal teams and external vendors.
Strong analytical and problem-solving skills with a keen attention to detail.
