The
Process Improvement Specialist plays a crucial role in enhancing an organization's efficiency and productivity. Here are the key responsibilities associated with this role:
- Process Documentation and Mapping:
Maintain the Aspen Scope Heat Map.- Validate Aspen scope versus Business Units (BU).
Plan and execute the transition of work from BU to Aspen.
- Create a RACI matrix (Responsible, Accountable, Consulted, Informed) for current and future in-scope processes related to Aspen.
Process Improvement and Redesign
:- Identify opportunities for automation, policy changes, and process redesign.
Collaborate with BU, CIT, Aspen SME, and other stakeholders to complete process improvement projects.
- Manage process improvement initiatives using project management or Agile methodologies.
Document improved processes with the help of Aspen SMEs.Process Controls
: Establish control points within processes.
- Document testing scenarios for these control points.
Conduct internal controls testing.- Publish an internal controls scorecard.
Ensure compliance with internal controls and collaborate with audit teams.
- Scorecard, Metrics, and SLAs:
Measure and publish scorecards and Service Level Agreements (SLAs).- Review SLAs and metrics regularly to identify areas for improvement.
Use trends from scorecards and SLAs to enhance processes.
- Incident Management and Root Cause Analyses (RCAs):
Set up an incident management process (based on ITIL) and an incident reporting matrix.- Ensure Incident Reports (IRs) and RCAs are in place for incidents.
Monitor action items and document process changes.
Determine required headcount based on time-motion studies.- Track productivity savings resulting from automation and process improvements.
Establish a roadmap for world-class productivity targets.
Review additional scope for Aspen.- Determine necessary headcount for changes or new scope.
Ensure service agreements are in place.
- Monitor changes through a change management system.
User Acceptance Testing (UAT)
:- Provide feedback on UAT scenarios as needed.
Training:
- Offer input to Subject Matter Experts (SMEs) on training processes.
- Qualifications & Experience:
4 to 8 years of experience in Operations or Shared Services.
- Graduation in Industrial Engineering or a related field.
Familiarity with Lean Methodology and process governance.
