How You Spend Your Eight Hours
Handle healthcare referrals
Coordinate with specialists and other healthcare service providers as recommended by primary care providers
Call third-party providers for basic vetting and information gathering
Keep the care coordination team updated on the referral status
Manage pre-appointment logistics, including encoding/uploading patient intake information
Inform clinicians of patient details necessary to prepare appointments
Communicate with third-party U.S. doctor offices to request records and information related to patient care
Coordinate with third-party providers to schedule patients lab and imaging appointments
Schedule and manage follow-up appointments for ongoing patient care
Handle basic administrative tasks such as processing insurance forms and requesting records from external providers
Update and maintain accurate patient charts, including clinical notes and communication
Receive inbound requests via the client's Magento and in-house platforms
Coordinate with the client's IT department/vendor for access and control of all related IT assets that they use and work on daily
Consult and provide feedback on workflow to protect customer proprietary network information (CPNI) while simultaneously protecting the client's assets and customer privacy, including using 2FA, Token Authentication software, PGP, blockchain, and other technology
Contribute to a positive work environment that encourages team members to provide feedback on growth and opportunities based on trends and summaries of requests received
Proactively contemplating helpful tasks and responsibilities needed in the future
Perform other duties as deemed necessary
What You Must Possess
Experience in a similar field
Familiarity with medical terminology and practices, particularly those relevant to appointment scheduling and patient records management
At least two years of experience in a medical office or healthcare service provider setting, with a focus on patient coordination, records management, and administrative duties
Strong customer service skills
Ability to establish rapport quickly and have clear and compassionate communication with patients and providers
Exceptional verbal and written English skills, with experience in telephone communication, active listening, and the ability to navigate complex or sensitive conversations professionally
Comprehensive understanding of patient confidentiality and medical ethics
Familiarity with the Health Insurance Portability and Accountability Act (HIPAA) standards and similar patient privacy regulations
Familiarity with Google Suite apps (Docs, Sheets, Drive), Slack, electronic health records (EHR) systems, and Canva (a plus)
Willingness to work within Eastern Standard Time (EST) business hours
