The Impact you'll make
Appointment Management
- Coordinate and schedule building site visits
- Manage calendar conflicts and adjustments
- Ensure timely communication with all parties involved
Client Coordination
- Liaise between internal team members and partner companies
- Maintain professional communication with property managers
- Follow up on scheduling confirmations
CRM Administration
- Update HubSpot with new appointments and task assignments
- Maintain accurate records of scheduled site visits
- Track proposal status and updates
Process Optimization
- Develop efficient scheduling workflows
- Identify and resolve scheduling bottlenecks
- Maintain organized documentation of all coordination activities
Skills, Knowledge and Expertise
Required:
- Minimum 1 year of appointment setting or scheduling coordination experience
- Demonstrated experience using CRM systems (HubSpot experience preferred)
- Proficiency in calendar management tools
- Experience in professional business communication
- Background in customer service or administrative support
- WFH Set-Up:
- Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
- Internet speed of at least 40MBPS
- Headset with an extended mic that has noise cancellation and a webcam
- Back-up computer and internet connection
- Quiet, dedicated workspace at home

- Monday to Friday from 8 AM to 5 PM EST (Eastern Standard Time)
- 40 hours per week
