We are seeking a highly organized and detail-oriented Administrative Officer to join our team. As an Administrative Officer, you will play a crucial role in ensuring the smooth and efficient operation of our organization by overseeing a wide range of administrative tasks. You will work closely with various departments and senior management to provide administrative support and contribute to the overall success of the organization.
Responsibilities:
Administrative Support: Provide comprehensive administrative support to the organization, including managing phone calls, emails, correspondence, and scheduling appointments.
Documentation and Record Keeping: Maintain accurate and up-to-date records, files, and databases, ensuring proper documentation and confidentiality of sensitive information.
Calendar Management: Coordinate and manage calendars, schedule meetings, conferences, and appointments for senior management, ensuring optimal use of their time.
Office Operations: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities, and coordinating maintenance and repairs when necessary.
Travel Arrangements: Arrange travel itineraries, accommodation, and transportation for staff members and visitors, ensuring cost-effectiveness and timely arrangements.
Meeting Coordination: Organize and coordinate meetings, prepare agendas, take minutes, and distribute relevant documents to attendees.
Financial Administration: Assist with financial administration tasks, such as processing invoices, tracking expenses, and managing petty cash.
Database Management: Maintain and update various databases, ensuring accuracy and accessibility of information.
HR Support: Provide support in HR-related activities, such as recruitment coordination, onboarding new employees, maintaining employee records, and assisting with employee benefits administration.
Project Assistance: Support project teams by assisting with project coordination, monitoring timelines, and preparing project-related documentation.
Communication: Serve as a point of contact for internal and external stakeholders, addressing inquiries and providing information when necessary.
Ad hoc Tasks: Perform additional administrative tasks as assigned, demonstrating flexibility and adaptability to meet organizational needs.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field (or equivalent experience).
Proven experience in an administrative role, preferably in a fast-paced environment.- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy in all work.
- Exceptional verbal and written communication skills.
Proficiency in using office software and equipment, including MS Office Suite (Word, Excel, PowerPoint) and email clients.- Familiarity with database management and record-keeping systems.
Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving and decision-making skills.
Ability to work independently and collaboratively as part of a team.- Excellent interpersonal skills and the ability to interact with individuals at all levels of the organization.
