The Operations, Administrative & Customer Success Specialist will work closely with the Operations Manager & other Leadership to ensure smooth functioning across operations, customer success, and administrative tasks, ultimately contributing to the efficient operation and success.
Responsibilities:
Operations:
- Support the Operations Manager with daily management tasks.
- Maintain the organization-wide schedule.
- Ensure smooth communication and cooperation between departments.
- Assist in hiring and training new employees.
- Customer Success:Engage in professional and friendly communications with customers via email and phone.
- Familiarize yourself with IrishAngels operations to effectively support customers or refer them to the appropriate person for resolution.
- Maintain a clean and accurate CRM.
- Support the creation of weekly and quarterly emails to our wider network with updates on key IrishAngels activities.
Administrative:
- Manage bookkeeping functions for all IrishAngels SPVs (Special Purpose Vehicles), including ensuring accounting partners are updated on all LLC expenses and payments, account reconciliation, preparing financial statements, tracking receivables and payables, and monitoring expenses.
- Set up payments to relevant vendors to fulfill invoices when necessary.
- Coordinate annually with the CPA, providing all necessary information to complete tax returns for each investment vehicle and supporting the CPA as needed.
- Prepare and file all relevant reports on a state-by-state basis to maintain compliance.
- Ensure SPVs are in compliance annually with all state requirements to operate.
- Retrieve data from the database or electronic files as requested and verify it by comparing it to source documents.
- Support documentation preparation, SPV creation, distribution of documents, tracking and filing executed documents, and maintaining clear records during the deal closing process.
- Assist with document creation, distribution, tracking, and monitoring executed documents, and the release of funds during the distribution process.
- Support the wind-down of SPVs, ensuring state compliance within Delaware.
- Prepare materials for IrishAngels company-wide meetings and events.
- Assist in data collection from all portfolio companies and facilitate smooth data transfer to the Senior Associate for report generation.
Qualifications:
- Bachelor's degree in Business Administration, Communications, Finance or other related field.
- Excellent oral and written communication skills.
- Strong customer relationship skills.
- Excellent organizational skills and ability to multi-task.
- Ability to work in a team environment and take direction from management and supervisors.
- Proficiency in Microsoft Tools and Google Suite.
- Great attention to detail.
- Ability to meet deadlines with minimal supervision.
