JOB SUMMARY- The Administrative Associate is responsible in assisting with the day-to-day administration of company's accounts receivable and cash flow management including maintaining the accuracy of clients accounts and all documents relative to credit and collection function.
ACCOUNTS RECEIVABLE MANAGEMENT
- Ensure accurate posting of accounts receivable in Navision.
Ensures that accounts receivable is managed and collected based on due date.
- Receives payments and post the amount paid to customer account.
Document and monitor daily, weekly, and monthly updates of accounts receivable and keep customers updated by sending them Statements of Accounts regularly.- Identify problematic accounts and provide regular updates of receivable to management.
Issue credit holds notifications for delinquent clients.
- Prepares and monitors demand letters for delinquent clients.
Recommends and monitors accounts to be shifted to the Legal Department.- Visit clients to discuss issues regarding payments.
CLIENTS ACCOUNTS- Conduct credit investigations for the incoming clients.
Ensures that weekly and monthly billing of clients is debited to their accounts.
- Assist and respond to internal and external customers regarding inquiries on collection issues, making sure that payments are credited; allowances like discounts are credited, and resolve client discrepancies and short payments.
Reconcile transactions and balances to maintain accurate accounts.
CASH FLOW MANAGEMENT- Assist in the day-to-day cash management.
RECORD MANAGEMENT- Create and maintain credit history information of customers and status of collection efforts.
Prepare Billing Invoices, Statement of Account, and other Credit and Collection reports.
- File receiving copies of billing invoices.
Ensures confidentiality of financial records.
OTHERS- Performs miscellaneous job-related duties as assigned.
Education: College degree of any course.- Fresh Graduates are welcome to apply.
No Experience needed as long as willing to be trained.
