Duties and responsibilities:
- Monitors, update and keep track of all necessary permits e.g Business permit, sanitary permit, fire safety inspection certificate etc.
Ensure smooth operation of office equipment/facilities by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.- Maintains records on company property such as phone lines subscription, inventory and list of accountabilities (e.g issued laptop, direct lines, local lines, company car registration and assignment, car maintenance schedule, car repair if any etc.)
Manage and records all incoming documents and carry out administrative duties such as filing, copying, scanning etc. Receive, sort and distribute the mail -cover the reception desk when needed and coordinate with the building admin re bldg. concerns, announcement, permits and other documents. Provide support for the admin dept. by organizing office procedure and forms.
- Assist office personnel in scheduled meeting, booking conference room etc.
Greet and assist visitor to the office, provide professional communication and coordinate to the respective employee, supervisor or manager/office for concern.- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for company supplies, verifying valid/ official receipts and conduct market research to identify pricing trends.
Keep up to date records of products and purchases and coordinate with the accounting department for mode and schedule of payments.
- Maintaining strong relationship and long term purchasing agreements with suppliers and vendors and keeping open lines of communication with vendors.
Will act as safety officer (SO 1 ) and prepares needed basic reportorial documents for heath and safety annually, quarterly.
Requirements:- Bachelor's degree in Business or closely related field
Proficient in Microsoft Office (Word, Excel, Powerpoint)
- Data entry, filing, and record-keeping experience
Must at least have a 1 year experience in admin assistant or associate or purchasing assistant- Proficient in using copiers and other technology
Demonstrate ability to multi- task and ability to work proactively and take initiative as needed.
- Excellent in interpersonal skills
