As an Administrative Assistant, you will be instrumental in supporting executives and team members to ensure smooth operations. Your responsibilities will include managing busy calendars, organizing travel logistics, and overseeing email communications. You'll also assist in preparing documents and coordinating key projects that keep the organization running efficiently. Shift: Night Shift, 9 to 6 US Central Time (with potential for PH work hours after training)

The Pillars of Your Role That Support Team Success and Efficiency

Calendar Management:

  • Coordinate and manage schedules for executives, including arranging meetings, appointments, and conference calls.
  • Resolve scheduling conflicts efficiently and communicate adjustments promptly.

Email Correspondence:

  • Monitor and respond to emails on behalf of executives, prioritizing urgent messages and drafting responses as needed.
  • Organize and categorize incoming emails to streamline communication flow.

Travel Arrangements:

  • Arrange travel logistics, including flights, accommodations, and transportation, for executives and team members.
  • Prepare detailed itineraries and travel packs, ensuring all necessary documentation is in order.

Document Preparation and Management:

  • Draft, edit, and proofread correspondence, reports, presentations, and other documents as required.
  • Maintain an organized filing system for both electronic and physical documents, ensuring easy retrieval and confidentiality.

Meeting Support:

  • Prepare meeting agendas, materials, and presentations.
  • Attend meetings as required, take accurate minutes, and follow up on action items.

Administrative Support:

  • Handle incoming calls and inquiries, directing them to the appropriate parties and providing assistance when possible.
  • Complete expense reports, purchase orders, and other administrative forms accurately and in a timely manner.

Data Entry and Database Management:

  • Input and update information in databases, spreadsheets, and other systems with a high degree of accuracy.
  • Conduct regular data audits to ensure information integrity and compliance with company standards.

Project Coordination:

  • Support project managers in coordinating tasks, deadlines, and resources for various projects.
  • Track project progress and report on key milestones and deliverables.

Client and Vendor Coordination:

  • Serve as a point of contact for clients, vendors, and partners, providing exceptional customer service and addressing inquiries or issues promptly.
  • Facilitate communication between internal stakeholders and external parties as needed.

Requirements

Your Track Record and Skills That Will Pave the Way to Success

  • 3+ years of experience as an Administrative Assistant or in a similar role, preferably in a remote or virtual setting.
  • Experience in the mortgage industry is highly preferred but not required.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, with keen attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to work independently with minimal supervision while collaborating effectively in a team environment.
  • Discretion and confidentiality when handling sensitive information.
