Responsibilities:
- Setting up new customers in our various systems and databases
- Processing final documentation when accounting jobs are completed
- Sorting through and filing emails for Directors
- Drafting covering letters
- Maintaining our Practice Management database
- Assisting senior staff with work as directed
- Completion and posting of daily timesheets
- Updating workflow; Collations of financial statements and ITR's;
- Managing Companies Office fillings
- Compiling data from our systems, and completing data entry tasks
- Generating and preparing internal reports
- Ordering office supplies and liaising with suppliers
- Handling customer queries
- Completing invoicing and payment reminder requests
- Scheduling appointments and events
- Ordering office stationery and other supplies
- Participating in office meetings and taking meeting minutes
- Giving feedback on office efficiency and suggesting possible improvements
- Being ready for any other administrative tasks that are required
Skills and Requirements:
- Experience in an office administration role
- Strong Microsoft Office stills required
- Xero and Xero Practice Management experience highly valued, but not compulsory
- Time management, organisational and planning skills
- Ability to multitask and prioritise daily workload
- Excellent verbal and written communication skills
- Discretion and confidentiality
- Attention to detail, initiative, and problem-solving skills
- Strong numeracy skills to undertake invoicing and other basic financial tasks as required
- Creative mind, with an ability to suggest improvements
- Friendly, sense of humour and fun
- Team Player and willing to learn
- Friendly manner and strong communication
