JOB SUMMARY: Provide assistance to the AFM Head, AFM Supervisor and Design & Project Officer in all aspects of administration and facilities for head office and branches.
RESPONSIBILITIES:
- Assesses received requests in coordination with requisitioner in accordance with existing policies
- Assigns validated requests properly to 3rd party service provider with house maintenance
- Coordinates / updates requisitioner on the status of their requests until 100% completely served
- Logs, reports, monitors all assigned maintenance tasks
- Reviews documents and conducts due diligence for endorsement of new vendors for accreditation
- Endorses reviewed cost proposals and cost comparisons for items to be purchased and services to be availed
- Assures all attachments for POs, billings and other documents are completed and secured prior endorsement
- Prepares a weekly status/accomplishment report with regards to the various purchasing activities and availed services
- Monitors vendor performance through the use of scorecards and endorses to superior
- Keeps records of all transactions to aid in generating reports of tasks assigned (aircon maintenance, security, courier, etc.)
- Focuses in assuring the fulfillment of task would be timely, cost efficient and of company's interest
- Adheres to the AFM guidelines / policies and assures it is being followed and readily endorsed for documentation of any approved enhancement
- Assists in the sourcing out of other local service providers suppliers their proposals / quotations as required by AFM Head. Does the necessary legworks required to come up with a recommendation to equip the AFM Head in the final decision on what to recommend, which should complement in achieving the over-all company goals and objectives
- Performs other tasks which may be delegated from time-to-time
QUALIFICATIONS:
- Bachelors degree in Business Management, Operations Management, Office Administration or equivalent
- With art least 1 year relevant experience
- Customer-service orientation
- Keen to details and adept in reporting
- Good communication and coordination skills
- Preferably has driving & handyman (electrical, plumbing, car maintenance) skills
