Act as a lead person in a supervisory capacity, delivering high-quality administrative services. Provide accurate information, needful assistance, and strategies to the entire Admin team regarding policies and regulations. Address a variety of issues, provide general support, and ensure efficient Admin operations for the organization.
- Job Description and Responsibilities:
Initiate and contribute to the planning and development of admin policies, procedures, practices, and guidelines.
- Ensure proper dissemination, implementation, and compliance with these policies across the organization.
Provide advice and support to all company departments, especially managers, on the interpretation of admin policies and procedures.- Offer support on admin-related matters including services, logistics, supplies management, facilities management, subordinate development, performance evaluation, and disciplinary actions.
Collect and submit Admin Work Outputs (reports, records, files, updates, notices) as required by management.
- Assess and review the collected output of the Admin Team to ensure compliance with criteria and requirements.
Maintain a healthy employee-management climate through balanced and proper assessment of admin concerns.- Create and implement admin policies, guidelines, practices, or programs to resolve issues as needed.
Coordinate with the HR Associate Director and company lawyer on legal matters related to admin.
- Work with the HR Associate Director on admin initiatives and projects for department improvement.
Set and monitor targets, milestones, and objectives for the Admin department.- Respond to team concerns related to Admin Operations, following approved protocols and directives.
Explain the company's Admin operations, directives, and concerns to employees and executives.
- Analyze and resolve basic to complex Admin situations, coordinating with the HR Associate Director and higher management for guidance.
Assist admin employees in resolving issues, ensuring an objective review of pertinent documents and information.- Maintain composure and sound judgment under pressure.
Promote and uphold the company's rules and regulations as stated in the employee handbook and code of conduct.
- Develop a succession plan for Admin department staff and a business continuity plan to ensure smooth operations.
Ensure subordinates work harmoniously and consistently apply company policies.- Record historical data of company vehicles and ensure related documents are up to date.
Monitor vehicle conditions, cleanliness, and maintenance, ensuring adherence to company policies.
- Ensure employee meals are of high quality and served correctly
Ensure compliance with Eco Plaza Admin policies and maintain a professional relationship.- Monitor administrative assets and tools, maintaining updated records of those entrusted to the team.
Consistently deliver high-quality results for all tasks assigned.
Preferably with experience in a similar role.
- Advanced written and oral English language skills.
Knowledgeable about administrative functions and legal compliance.- Extensive knowledge of administrative policies and procedures.
Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
Proficient in Microsoft Office Suite.- Ability to maintain composure and sound judgment under pressure.
