Job Description

As Admin Coordinator, your general functions and tasks include but are not limited to:

Welcome and guide guests, candidates, and clients to appropriate departments.

Manage incoming calls and direct them to the relevant departments.

Serve as liaison personnel between TRG and Government Agencies, facilitating the submission of documents in coordination with HR.

Provide general support during client and guest visits.

Arrange travel and accommodation for clients, partners, and employees.

Coordinate appointments, meetings, and senior management schedules as needed.

Book conference rooms for meetings.

Attend meetings, take minutes, and distribute them to attendees.

Book restaurant reservations as assigned.

Administer locker keys and assignments.

Coordinate shipping for offi ce supplies, HMO cards, company IDs, and perk items.

Purchase offi ce supplies, furniture, and electronics; manage offi ce expenditures.

Maintain and manage offi ce supplies inventory.

Plan, suggest, and oversee company perks program in collaboration with HR.

Propose and implement practical company perks to support staff retention.

Collaborate with external companies or organize recreational activities to enhance employee perks.

Manage vendor relationships, negotiate contracts, and track suppliers.

Prepare and organize all company perks, including but not limited to:

Ordering the necessary supplies or items (e.g., rice, welcome goodies, etc.)

Coordinating with food vendors to prepare food lunches

Organizing the schedule of the shuttle services and coordinating with the drivers.

Preparation of drink stubs Preparation of an employee list for the recipients of company perks

Arrange and order company uniforms in coordination with Marketing.

Take charge of distributing offi ce supplies and perks to ensure meticulous organization and prevent any losses.

Manage communication with vendors regarding incorrect, damaged, or missing orders.

Handle receipts and fi nancial coordination with the Finance department.

Manage budgets allocated for offi ce supplies and perks.

Perform other administrative tasks and duties assigned by Senior Management.
