AT A GLANCE (OVERVIEW)An administrative associate's duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports Corporate Optometrists, Area Doctors and optometrists through a variety of tasks related to organization and communication. Administrative assistants are responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
Handling office tasks, such as filing, generating reports and presentations, setting up meetings and reordering supplies.
- Organize and schedule meetings and appointments.
Take accurate minutes of the meeting.- Write and distribute email, correspondence memos, letters, and forms.
Update and maintain organizations policies and procedures.
- Preparing of travel request and temporary relocation allowance request.
Submit and reconcile expense reports (reimbursements).- Provide information by answering questions and requests.
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Contribute to team effort by accomplishing related results as needed
- YOUR TALENT (QUALIFICATIONS)
College graduate of Business Administration or equivalent- At least 2 years of experience in the field or in a related area
Proficient in MS Office
- Knowledge of office management systems and procedures
Excellent in time management skills and ability to multi-task and prioritize work- Attention to detail and problem-solving skills
Strong organizational and planning skills
