JOB OVERVIEW:Data Lake, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Administrative Assistant will perform various tasks, including managing calendars, handling correspondence, and maintaining filing systems. The candidate should possess excellent communication skills, strong attention to detail, and the ability to multitask effectively.
Calendar Management: Coordinate and schedule appointments, meetings, and events for management and staff members. Ensure schedules are up-to-date and accurate.
- Correspondence Handling: Manage incoming and outgoing emails, letters, and other correspondence. Respond to inquiries promptly and professionally.
File Management:
Maintain electronic and physical filing systems, ensuring all documents are organized and easily accessible. Regularly update and purge files as needed.Data Entry:
Input and update data in various databases and spreadsheets accurately and efficiently. Verify data for completeness and accuracy.Office Support: Provide general administrative support, including answering phones, photocopying, faxing, and ordering office supplies.
- Meeting Support: Prepare meeting agendas, take minutes, and distribute materials. Ensure meeting rooms are set up and equipped with necessary resources.
Travel Arrangements:
Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation as needed.Record Keeping:
Maintain records of office expenses, invoices, and other financial transactions. Prepare reports and summaries as requested.Communication Liaison: Serve as a liaison between departments, external vendors, and clients. Facilitate communication and ensure timely responses to inquiries.
- Special Projects: Assist with special projects and initiatives as assigned by management. Conduct research, compile data, and prepare presentations as needed.
Graduate of BSBA or any business related courses; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a similar role for at least 2 years.
Previous experience in a fast-paced office environment.- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
Experience with calendar management software (e.g., Google Calendar).
- Excellent organizational and time management skills.
Strong attention to detail and accuracy.- Familiarity with database management and data entry.
Exceptional communication skills, both verbal and written.
- Ability to prioritize tasks and manage multiple deadlines.
Discretion and confidentiality in handling sensitive information.- Strong problem-solving skills and resourcefulness.
