Our client is a National Disability Insurance Scheme (NDIS) provider that offers tailored support and care services for individuals with disabilities. JOB DESCRIPTION FOR AN ADMIN & OPERATIONS ASSISTANT
Responsibilities as an Admin & Operations Assistant:
- Serve as the primary point of contact for NDIS support inquiries received via the website. Manage the entire onboarding process, including preparing service agreements, selecting appropriate support workers, securing accommodation (STA, SIL), and arranging property walkthroughs.
- Organize short-term accommodation (STA), supported independent living (SIL), and ongoing support work for participants, ensuring all logistical details are handled efficiently.
- Draft service agreements for participants and support workers, ensuring timely renewals or extensions as needed to maintain compliance and service continuity.
- Prepare support worker rosters and communicate schedules to both participants and support workers. Ensure participants are aware of any schedule changes, sharing contact details for direct communication when appropriate.
- Coordinate the invoicing process for participant services, ensuring support worker invoices are correctly submitted to plan managers. Manage all invoices related to accommodation services provided by the client.
- Maintain accurate participant and support worker records, using Dropbox and SharePoint to organize all documentation. Ensure all records are compliant with NDIS requirements and easily accessible.
- Support the recruitment process by placing job advertisements, conducting initial phone interviews with potential support workers, and onboarding new hires in collaboration with the HR department.
- Arrange payments to suppliers, manage office expenses, and handle operational costs such as internet, phone, and office supplies.
- Proactively generate new leads through outbound calls, inquiries from the website, and targeted outreach to support coordinators, aged care facilities, and medical centers. Manage the end-to-end lead generation process, from first contact to securing service agreements.
- Build and maintain relationships with new and existing clients, understanding their needs and promoting the company's services. Serve as a key contact for participants, support coordinators, and plan managers.
- Write tailored proposals for new clients, negotiate service agreements, and finalize contracts that align with the needs of both the client and the organization
- Conduct research on local and international industry trends, identifying new opportunities for growth. Assist in developing strategies that increase client acquisition and expand clients market presence.
- Use MailChimp to send newsletters to support coordinators, aged care facilities, and medical professionals, promoting services and keeping stakeholders informed of new developments.
- Handle participant or support worker complaints, conducting investigations when necessary and ensuring swift resolution to maintain high client satisfaction
- Provide additional services for participants as needed, including arranging transport, booking medical appointments, or handling special requests.
- Work closely with the accounting department to manage accounts receivable, accounts payable, and payroll, ensuring smooth financial operations. Coordinate with support coordinators and other departments to ensure participant needs are met.
- Partner with the marketing team to improve lead generation campaigns, newsletters, and outreach initiatives. Ensure all communications are aligned with the company's objectives and are effective in reaching key audiences.
- Take initiative in problem-solving and making independent decisions regarding participant services, operational challenges, or client interactions. Ensure tasks are completed efficiently without constant supervision.
- Lead the daily operational tasks related to participant care and support services, ensuring processes run smoothly and all compliance requirements are met.
Qualifications as an Admin & Operations Assistant:
- Proven experience in lead generation, client acquisition, and business development.
- Solid understanding of NDIS processes, including participant onboarding, service agreements, and compliance requirements.
- Strong administrative and office management skills, including experience with invoicing, record keeping, and participant documentation management.
Preferred Skills:
- Familiarity with Dropbox, SharePoint, and other document management tools.
- Experience with MailChimp or similar email marketing tools for newsletters and outreach campaigns.
- Previous experience in a healthcare, aged care, or NDIS-related organization.
- Ability to work independently, with strong problem-solving and decision-making skills.
