The role of an accounts payable assistant is to help the organization's finances, administration, and clerical needs. They are responsible for processing payments, keeping track on expenses, and ensuring that invoices are paid on time and accurately for the company.
+ Essential Job Functions
Key Responsibilities:
- Invoice Processing: Receive, review, and verify invoices and check requests. Sort, code, and match invoices. Set invoices up for payment. Enter and upload invoices into the system. Track expenses and process expense reports.
- Payment Processing: Prepare and process electronic transfers and payments. Prepare and perform check runs. Post transactions to journals, ledgers, and other records. Reconcile accounts payable transactions.
- Vendor Relations: Monitor accounts to ensure payments are up to date. Research and resolve invoice discrepancies and issues. Maintain vendor files. Correspond with vendors and respond to inquiries.
- Reporting and Record-Keeping: Produce monthly reports. Assist with month-end closing. Provide supporting documentation for audits. Maintain accurate historical records.
- Compliance and Controls: Ensure compliance with applicable company policies and procedures. Assist in the development and implementation of new processes and procedures to enhance the workflow of the department. Support the finance team with additional tasks as required.
Qualifications:
- Bachelor's degree in Accountancy or a related field preferred.
- Proven working experience as Accounts Payable Assistant or in a similar role.
- Solid understanding of basic bookkeeping and accounting payable principles.
- Proven ability to calculate, post, and manage accounting figures and financial records.
- Data entry skills along with a knack for numbers.
- Hands-on experience with spreadsheets and proprietary software.
- Proficiency in MS Office, particularly Excel.
- High degree of accuracy and attention to detail.
- Strong organizational and time management skills.
- Ability to handle confidential information with integrity.
