Job Description

JOB SUMMARY

The AR/Admin Staff assists in ensuring that all AR related concerns especially the past due accounts of the key accounts are up to date and cleared. He/She also helps provide assistance to the KAS to ensure that the Collection documents are completely downloaded, compiled and submitted to finance. The AR/Admin staff also ensures proper documentation safekeeping, routing and overall upkeep of the sales admin functions of Modern Trade sales.
  • DUTIES AND RESPONSIBILITIES:

  • Reconcile AR floaters and collection variances of the accounts

  • Coordination with KAS and Finance AR staff for AR reconciliation

  • Inspection of supporting documents/attachments for deductions

  • Secures needed AR attachments from head office and store level to ensure clearing of all floaters and collection discrepancies

  • Validates the Invoices and coordinates with FBC and accounts for any discrepancies/corrections

  • Coordinates with Accounting for the AR reports, Collection letters or SOA

  • Downloads AR and collection docs from Portal

  • Coordinates with the Portal service provider of the accounts for any concerns or glitches in the system

  • Filing of:

    a. TSAs, ERF, Workplans and other sales docs

    b. Invoices

    c. Provisional receipt/ ORs/TLs

  • Maintain the cleanliness and upkeep of the sales area at all times

  • Properly files, routes and safekeep all sales documentations

  • In charge of ensuring complete sales supplies, and processing of Sales PRs for repairs, maintenance and acquisition of sales OPEX and CAPEX materials

  • Perform other task as specified by the management

    _JOB QUALIFICATIONS_
  • College Graduate of any Business related course
With at least 2 years of working experience in the field of sales, accounting AR department, or audit work
  • Good interpersonal and organizational skills
Keen to details
  • Computer literate (can operate MS Office; excel and Word specifically)
Strong communication, organization, and interpersonal skills.
  • Be able to function calmly in a high-stress environment.
Be able to delegate authority to meet liaison objectives
