Specific Duties & Responsibilities:
Flight Preparation duties:
- Receive Principal's flight reservation and/or schedule request.
- Confirm flight details such as number of passengers, Boarding/disembarking area and ETDs.
- Alert Planning and Engineering Department about the flight.
- Alert Flight Coordinators/ Flight Dispatchers about flight details.
- Alert Maintenance Department about the flight details.
- If ever, upon checking the Aircraft is not available, alert Principal about non availability thereof.
- Alert Flight Coordinators/ Flight Dispatchers to check on Slotting.
- Adjust timing with the principal.
- If ever all of the above details and information are complete, confirm flight to principal.
- Advise Flight Coordinators/ Flight Dispatchers of the complete flight details.
- Advise the principal about the fuel cost for advance payment.
Pre-flight:
- If there are changes in the OAGMSES, secure and fill out OAGMSES form and share the same with the Admin Department if the timing is 8am to 5pm. If it is 5:01pm to 7:59am send OAGMSES directly to MIAA.
- Once approved, share the approved OAGMSES form to the company driver and Security and Safety Department.
- Prepare Passenger's Lounge.
- Ensure availability of crew transport to the aircraft.
- Ensure Passengers transport to the lounge.
- Accompany the passengers on the ramp.
Post-flight:
- Ensure Passenger transport to the gate.
- Ensure Crew transport to the office.
Other duties and responsibilities.
- Monitor the expiration of Aircraft's Insurance, Certificate of Airworthiness (CofA), Certificate of Registration (CofR), etc.
- Inspection of the Aircrafts once a month.
- Coordinate and submit quotation to Principals on incoming scheduled and non-scheduled maintenance of aircrafts.
- Review Purchase Order (PO) related to aircraft approval request.
- Submit Technical Reports and updates of repair and/or rectification of aircrafts to all Principals.
- Follow-up payments on Management Fee, Operational Expenses, etc. to Principals.
- Manage and update the monthly Google calendar being shared with the Flight Coordinators and Principal's Flight Coordinators to ensure smooth flight experience.
- Prepare Monthly Management Report for submission to Principals.
- Set-up meetings and/or calls with Principals to establish rapport and build sustainable relationships of trust and loyalty.
- Develop strong and trusted relationship with business partners and/or principals through timely and accurate communications.
- Handle Principal's complaints as and when necessary by providing appropriate solutions and alternatives within the time limits and follow-up to ensure resolutions.
- Create, develop and implement WORKFLOWs on customer service standards and protocols to promote customer satisfaction. And if necessary, to train principal-facing employees of this standards and protocols.
- Develop new business opportunities in every business partner and/or principal communication.
- Assist in developing sales and marketing initiatives.
- Assist Marketing in developing marketing materials and proposals. Prepare power point presentations and sales displays as and when necessary.
- Participate in company-initiated and/or external product launches; trade shows; conferences; networking, industry and/or community events and/or meetings that will lead to possible business partnerships, clients and products or services promotions.
- Develops own skills and industry knowledge in all areas of Customer Service as well as in Sales & Marketing as required by the Company and as part of continuous learning and improvement through but not limited to further studies; trainings; etc.
- Performs other job-related duties and responsibilities as needed. Responsibilities and duties may change when circumstances dictate such as but not limited to changes in workload; rush jobs; emergencies; etc.
