Executive Assistant

Overview of the Role:
As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of the executive office. You will provide high-level administrative support, manage schedules, coordinate meetings, and assist with various projects. The ideal candidate will be proactive, organized, and possess excellent communication skills, with a strong ability to prioritize tasks in a fast-paced environment.
Responsibilities:
- Calendar Management: Maintain and organize executive calendars, schedule appointments, and coordinate meetings with internal and external stakeholders
- Communication: Serve as the primary point of contact for internal and external communications. Draft and prepare correspondence, reports, and presentations as needed
- Meeting Coordination: Plan and facilitate meetings, including preparing agendas, taking minutes, and following up on action items
- Project Support: Assist in managing special projects and initiatives, providing support in research, data collection, and reporting
- Travel Arrangements: Coordinate travel itineraries, accommodations, and logistics for executives
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times
- Office Management: Assist in the daily operations of the executive office, ensuring a well-organized and efficient workspace
Requirements
- 3+ years of experience as an executive assistant or in a similar role, preferably in a fast-paced environment
- Bachelor's degree in Business Administration, Communications, or a related field preferred
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
- Exceptional organizational skills and attention to detail
- Strong verbal and written communication skills
- Ability to multitask, prioritize effectively, and work independently
- A proactive approach to problem-solving and a positive attitude
- Experience in the beauty or skincare industry is a plus
